Senior Document Controller
Working Arrangement: Project-based, with flexibility for occasional remote working

The Role

Our clients are looking for an experienced Senior Document Controller to set up, manage and maintain project document control systems across major construction projects within the Northern Home Counties.

You will initially manage and set up two major projects, before settling onto one major project. The role will involve working closely with project teams, design consultants and subcontractors to ensure effective document control from project commencement through to close-out and handover.

Key Responsibilities

• Set up, manage and maintain project document control systems in line with company, customer and project requirements.
• Quality check document naming conventions, metadata and documentation before uploading to the CDE.
• Liaise with design consultants and the design lead regarding CDE workflows and document control issues.
• Support the training of consultants and subcontractors who are unfamiliar with the CDE.
• Coordinate document control activities across technical documents, drawings, commercial correspondence and supplier deliverables.
• Organise, manage and file project documents, drawings, document receipts and distribution lists in line with naming and numbering procedures.
• Issue and receive controlled documentation, maintain issue logs and create electronic transmittals for projects, customers and suppliers.
• Assist with chasing subcontractors for as-built information and compiling O&M files through to close-out and handover.
• Manage project allocations, maintain accurate registers and action lists, and provide progress reports.
• Assist with quality checks and audits of document databases, identifying and correcting anomalies.
• Archive, retrieve and store documentation in accordance with company standards and policies.
• Carry out routine document management activities including document release and publishing, technical query handling, transmittals, filing, copying and local library management.
• Coordinate the issue, receipt and tracking of engineering and supplier deliverables through to close-out and handover.
• Ensure team compliance with project document control and document numbering procedures.
• Act as the focal point for document management matters and communicate problem areas to the project team where necessary.
• Provide practical help and first-line training support to team members and assist with coordinating document management across the project.
• Attend live construction projects and undertake progress photography, as required.
• Maintain and organise hard-copy document masters within the project library or archives.

About You

• Previous experience as a Senior Document Controller, with experience setting up and using electronic document management systems.
• Experience using Viewpoint 4P and Aconex.
• Experience initially managing and setting up two major projects before focusing on one major project.
• Good organisational skills, with the ability to prioritise and manage your own workload.
• Knowledge of spreadsheets, databases, word processing and job-specific software, with the ability to maintain accurate records, reports and retrieve information efficiently.
